San Juan County commissioners approved March 12 the purchase of a new Canon multifunction copier and a large-format scanner/printer to digitize planning documents and maps.
County staff presented two procurement options: a lease-purchase for the Canon copier over 63 months (total lease cost roughly $9,000) or a cash purchase (lower upfront cash price). Commissioners approved staff’s recommendation to buy the copier and also to proceed with a roughly $5,900 large-format scanner/printer (used for map digitization). Planning staff will pursue a state clerks/records technology grant to cover the scanner cost; if grant funding is not available staff proposed using department funds.
Staff said the equipment will enable more complete digital records — larger planning maps and historic documents that are now only stored in paper — and will make building and planning documents accessible for staff and the public.
Ending: Planning will move forward with procurement and pursue grant funding for the scanner; staff will arrange digitization work and report back when equipment is in service.
