Car show: Members clarified that the car show will charge $15 per vehicle for advance registration (higher day-of price possible), with a minimum cash prize for category winners and a “best in show” cash minimum. The city attorney advised noting minimum cash prizes on the flyer to show the payout is not funded from entry fees alone; committee members discussed wording such as “minimum prizes” and adding a disclaimer that sponsorships may increase prize funds.
Parade: The committee discussed route options and traffic impacts. Members agreed to continue parade-route planning at the next meeting, and asked staff to prepare maps and traffic-control options; they also discussed free registration for parade participants to encourage community participation, while reserving the option to register without fee if logistics require.
Flyers and printed materials: Several committee members flagged an item in the Suncoast News and at least one flyer that predated committee updates; the committee instructed staff to correct any public materials with outdated event information and to withhold distribution of printed flyers until the committee approves the final versions. Staff said digital event pages and QR codes would be posted as soon as corrections are made.
Staff reported sponsorship and donation in-kind offers for event bags and supplies (AdventHealth and other donors) and confirmed donated cases of water and swag for participant bags. The committee asked staff to produce final registrant lists from the portal for event-day check-in.
No formal roll-call votes were required on the event descriptions; the committee moved to publish corrected flyers and to proceed with portal event entries after the small corrections were made.
