Village staff recommended DeKine after a request-for-proposals process and reference checks. Staff highlighted as advantages weekly on-site time, remote monitoring capability and referenced municipal clients who reported satisfactory service. The agreement includes an onboarding step to inventory systems and transfer administrative access.
The budget impact discussed at the meeting included an annual base cost of $19,632 and unspecified onboarding charges. Trustees asked for clarity about monthly hourly allowances, the extent of on-site work (described as roughly two hours per week on-site plus remote support), and which additional subscriptions would be required. Staff said the vendor integrates with the village’s existing CrowdStrike endpoint protection and would also use a separate monitoring tool known as “Ninja,” for which a fee was not itemized in the packet and would be billed in addition to the base agreement. Off-site storage and software subscriptions were confirmed as separate costs the village already pays or would continue to pay.
Board members also asked about contractual termination and transition from the current vendor; staff said the new agreement is effective March 1 if approved and would require a short transition period with the incumbent provider. The board voted by roll call in favor of the resolution; Trustees Sittig, Trustee Wells, Trustee Jensen and Trustee Miller were recorded as voting in the affirmative and the motion carried.
