Commission approves printing of Hosmer House structural and landscape report; posting decision deferred

The Sudbury Historical Commission approved an expenditure of $791.14 to print 10 color, spiral‑bound copies of the Hosmer House historic structures analysis and cultural landscape survey report.

Reports and appendices will be printed double‑sided; the commission selected the lowest of three vendor quotes and instructed the staff volunteer handling procurement to proceed. Commissioners discussed whether to post consultant reports on the commission’s website. Some members favored posting final reports online; others raised concerns about posting detailed collection inventories for security reasons. The commission decided to defer a final decision about online posting of consultant reports (particularly the collections report) until its March meeting so all members can weigh in and so staff can provide any legal or town guidance. In the interim, commissioners agreed the printed reports will be available at the town library and that final reports should not be posted until they are the final versions (drafts should not be posted).

Motion and vote: Commissioner Chris moved to approve the expenditure; a commissioner seconded the motion. The commission recorded unanimous affirmative votes from attending members.

Commissioners also asked staff to obtain a separate printing quote for the smaller collections report and to return with that cost at the next meeting. They reminded staff that larger future inventory printings (Phase 5) may require additional budget planning.
