The musicians' quoted fee discussed during the meeting was $1,100 for a trio performance; members asked staff to negotiate scope and fee and report back at the next meeting.

The committee also discussed web registration and attendee tracking: Sudbury IT staff offered to implement a free registration form to collect name, email, town and ZIP code (phone optional) and to operate a waiting list tied to venue capacity.
Other program items reviewed included: a proposal from Bridal Sporting Goods to produce a child "passport" to encourage attendance at multiple events; proposals from local authors and speakers (one speaker fee noted at $300); and a suggestion to reassign $1,000 budgeted for an essay contest in 2026 to help cover near-term event expenses, a matter members said would require further budgeting discussion.
