Facilities staff report Brightly asset‑management rollout; principals to receive access soon

Facilities staff demonstrated the district’s Brightly (SchoolDude) asset‑management system at Thursday’s meeting and said the rollout is largely complete for core work‑order and project tracking modules, with planned principal access and quarterly reporting to the subcommittee.

Staff said roughly 90% of the software’s capacity is in use; the remaining inventory modules — which track raw materials used on construction or repair projects — are not yet implemented. The system will allow principals and facility managers to view active work orders, preventive maintenance schedules and completion history. Staff presented a recent report showing more than 500 historical job orders were cleaned up during a records consolidation effort.

Committee members asked that principals be trained and granted access quickly so they can view schedules and submitted work orders for their buildings. Staff said they plan to train principals individually, that supervisors and senior custodians are already entering routine requests, and that automated notifications will flag orders not moved within preset time frames.

The facilities director said the software enables more granular reporting on average completion times, preventive maintenance schedules and grounds work cadence. Committee members asked for quarterly reports from the divisions and a schedule showing routine grounds and mowing cycles; staff agreed to provide those deliverables.
