Woody, the city’s IT representative, told the council the additional 30 licenses were needed to serve expected staffing growth and to avoid lapses in service; he said the city is currently short three licenses and two new hires start soon. Woody said the three-year contract will align with the city’s other licensing renewals and provide a small buffer for expected hires.
A motion to approve the purchase order (SWIT25022801) for $39,502.20 was made by a council member whose name was not audible in the transcript and seconded by Councilman Burns. The council approved the contract by voice vote.
Woody described the payment schedule and said staff used conservative growth estimates from departments (public works and police were cited as areas expecting new hires). The contract is intended to avoid service interruptions for email, SharePoint and other Office 365 functions.
The purchase order and contract execution were authorized at the study session; finance staff will finalize the payment schedule and implement the license assignments.
