Committee presses vendor for payment portal, approves QR-code workaround to release flyers

Committee members told staff to proceed with flyer distribution even though the city’s dedicated payment-portal landing page was still in development. Staff said the vendor estimated a one- to one-and-a-half-week timeline for the portal. To avoid delaying flyers, the committee approved a plan to publish a QR code that temporarily redirects to the city’s existing payment page; staff will switch the QR to the new portal URL when it goes live.
Members described functional problems with the city’s legacy portal — namely, that the legacy site required buyers to type the final total and could result in incorrect payments — and said the new landing page will present event items, pricing and quantity fields so totals auto-calculate. Committee staff (Ashley and Kim) were assigned to ensure the landing page can be redirected to prevent a second printing run for flyers.
The committee also instructed staff to add registration forms on each flyer: golf scramble, fishing tournament and car show forms should mirror the golf registration layout with captain/team fields (the fishing form will use boat/captain fields and list four anglers). The captain’s meeting will be the registration cutoff for the fishing tournament; committee members said that is mandatory. Staff were asked to email finalized registration and prize amounts to the vendor and to the remote member who had difficulty hearing meeting audio.
