Story County moves fax service to eFax, board hears $10,000-a-year savings estimate

The Story County Board of Supervisors on March 4 authorized the county to switch 17 fax lines to an electronic fax service, eGoldFax, a change county staff said will reduce annual costs and add redundancy and user capability.
An IT presenter told supervisors the county currently uses a mix of traditional phone-line faxing and electronic faxing and is paying roughly $13,000–$14,000 per year for faxing. The proposed eFax agreement would cover up to 2,500 pages per month, with an initial setup fee of $543.46 and an estimated all-in monthly cost of about $200 for the county, the presenter said. The presenter said the move would save at least $10,000 per year and allow unlimited users to send faxes by email, while retaining walk-up scanning and faxing at copiers.
The IT presenter noted the county's existing phone-line fax service relies on aging copper infrastructure and that several providers are moving away from that technology; an electronic service would provide redundancy through multiple internet connections and cloud fail-overs. He also said the proposed vendor can meet HIPAA and criminal-justice-information standards important to law enforcement and health partners.
A supervisor asked whether the $200 monthly fee was per line or total; the presenter confirmed that $200 was the total estimated monthly charge for the county under the proposed plan.
A motion to accept the fax quote from eGoldFax and to direct the IT director to proceed was moved and seconded; the motion passed on recorded voice votes.
