Advisory board debriefs spelling bee; organizers propose earlier planning, word banks and logistics fixes

Board members reviewed the recent spelling bee at the Feb. 20 meeting and proposed several operational changes to make next year’s event run more smoothly.

A member who took the debrief said the event was “short, sweet to the point” and that attendees gave positive feedback, but raised concerns that few school administrators attended despite district-level representatives being present. Members also noted problems with late or incorrect name lists, last-minute program folding, fragile balloon decorations that kept toppling and inconsistent certificate distribution at the ceremony.

Key recommendations included: provide the schools with a word bank (three levels — easy, medium, hard) two to three months in advance so students can prepare; require a confirmation call the day before to confirm dignitaries and participant lists; pre-fold programs at least three days before the event; stage a dedicated photo area (near the town seal) to ensure trophy photos; use standing microphone holders so students do not have to pass handheld mics; and ensure certificates are pre-placed on a table so they can be distributed smoothly after winners are announced.

One board member argued for earlier outreach in September to give schools time to create clubs or practice sessions. On staging and seating, members discussed angling student seating to avoid contestants having their backs to the audience and suggested running a slide show of prior-event photos on the venue TV to build continuity.

No formal vote was taken; the board agreed to incorporate the recommendations into planning for next year’s awards and spelling-bee operations and scheduled continuing planning in subsequent meetings.
