The Convention and Tourism Board voted Feb. 20 to contract with Flyer Group Aerial for a combined physical-and-digital mapping and marketing package and to approve 1,000 litho posters, while tabling a separate $5,000 grant request from the Guymon Community Theater until theater representatives can present their plan.
Board members approved the purchase after staff presented three package options. Sheila, identified in the meeting as the board's dynamic developer, described the vendor's offerings and recommended the silver package while outlining the platinum and gold alternatives. "So I recommend the silver, but I also can call Dell if there's any questions," Sheila said, referring to vendor follow-up. Board members who moved the final motion chose the platinum package instead.
The vendor's published pricing, cited in staff materials during the meeting, lists the silver package at $4,995 for the first year with a $2,495 annual renewal; the gold package at $7,495 first year and $3,495 thereafter; and the platinum package (physical plus digital) at $9,995 the first year and $4,995 each year after. The board also approved printing 1,000 litho posters; staff noted the printing cost as $4,000.
Annette, who presented a separate grant request on behalf of the Guymon Community Theater, recommended tabling that $5,000 big-grant application because no representative from the theater was present to explain their plan. "I'm recommending we table this for the next meeting because no one from the Diamond Community Theatre is present to present their plan," Annette said. The board voted to table the theater item to the next meeting.
Board members and staff discussed how the mapping product could support economic development and tourism outreach. Staff said the vendor can provide unlimited map edits, copyright assignment (so the city would own the finished files), print ordering or handoff for local printing, and optional digital/GIS integration with the city website or apps such as the existing My Diamond Life app. Sheila noted the vendor can produce community-vitality materials useful to real-estate marketing and trade shows, and the mapping could be shared on commercial property listing sites such as CREXI.
Members asked staff for follow-up information on related financial details. During commentary, a board member asked where a transfer earmarked for the golf course (noted in financials as $331,000) had been used and whether such transfers are recurring; staff said they would provide a report for a future meeting. The board also asked staff to add an update about a potential activity-center project to a future agenda.
