Cancellation-policy discussion: Staff proposed a tiered cancellation schedule and recommended a primary 90-day window for deposit refunds to allow the performing-arts center director to rebook popular dates. Board members discussed moving to a longer 180-day window to improve re-booking chances for another user, but decided to adopt the 90-day plan as proposed (with a 50% deposit requirement and graduated refund schedule outlined in the new rules). The board noted they can revisit the policy if rebooking becomes problematic.
Other operational clarifications include removing outdated references (for example, VCRs) and aligning the district’s rental fees with local peer facilities; staff said district fees are comparable to Iowa Western’s and remain below larger metro centers.
Votes and next steps: The board approved the 900 series updates as presented and directed staff to implement the new rental agreements and fee schedule effective July 1 for new bookings. Bookings already contracted before July 1 will honor prior terms.
