Minh (Trustee), who worked on the volunteer-recognition committee with Kevin and Kathy, summarized the survey: roughly 40 responses were collected after an additional outreach push; about 75% of respondents said they would attend an April event, and weekday afternoons were the most popular time. "If the South Pasadena Library held an event in April, would you be interested in attending? 75% said yes," Minh reported.
Trustees discussed formats and recognition preferences. The top suggestions were recognition in a local paper (about 39% of responses), thank-you notes and small tokens (about 31%), and recognition at City Council (about 22%). The committee discussed producing a custom enamel pin for volunteers; trustees estimated a 1-inch enamel pin would cost roughly $7–$8 apiece and that the Friends’ membership and bookstore funds would likely supplement the expense if the board decided to purchase pins for all volunteers (committee estimates range up to about 78 volunteers on the roster).
Trustees agreed to a mocktail/charcuterie approach for the reception with a mix of high cocktail tables and some seating. They discussed seeking donated items from local grocers and vendors and reaching out to community performers. The board confirmed it will not resume a single “Volunteer of the Year” award at this time; the committee and some volunteers prefer noncompetitive, broadly inclusive recognition.
The board asked staff to reserve the community room for April 17 (4:30–6:00 p.m.) and to confirm whether the Friends’ meeting schedule (typically the third Thursday) could follow the event. Staff will prepare logistics and cost estimates for pins and event refreshments.
No formal vote was required to set the date; the board recorded the decision and directed staff to confirm details with the Friends and return any formal budget requests if needed.
