County nursing center switches billing to MatrixCare subcontractor; AR cleanup underway

Stephenson County Nursing Center administrators told the committee they have contracted Quality Healthcare Resources, working under MatrixCare, to manage billing and collections and to perform an accounts-receivable (AR) cleanup covering December 2024 and earlier claims.
Administrator Marcos said the kickoff call with Quality Healthcare Resources was Jan. 28 and that the vendor already has access to MatrixCare and the facility’s claims module. Business office manager Jennifer Alaniz said the transition has been “going great,” that the vendor had already begun billing January claims and that weekly tracking meetings are in place.
The AR cleanup packet in the committee materials lists a start date of “as soon as possible” and specifies that the cleanup targets all payers except private pay; the packet also notes the vendor will review outstanding claims and advise the county which amounts are likely collectible. Marcos said Quality Healthcare Resources estimates a fee structure tied to net collections (the packet notes about 15% of net collections for more recent accounts and a higher percentage for older accounts), and that the vendor will classify older claims as collectible or not after a full review.
Administrators told the committee Quality Healthcare Resources will post deposits, assign payer responsibility and reconcile postings with the facility. Jennifer said the vendor is the primary point of contact for billing work and that the county business office will continue to provide records and repositories as needed. The administrators said they will bring monthly updates on collections and aging reports to the committee.
