Planning board moves toward digital agenda packets, will keep printed copies at meetings on request

On Feb. 10 the Panama City Planning Board agreed to a staff proposal to shift toward digital distribution of agenda packets while continuing to provide printed copies at meetings or upon request.
Development Services staff said going digital is the department’s preference because it is the most cost‑effective option and allows packets to be delivered earlier. Staff told the board it will post the final agenda and packet online no later than the Tuesday before the meeting and email a link to members when the packet is available. Paper copies will be provided at meetings and can be printed in advance if a member requests them for a complex item.
Board members noted the cost of mailing: one board member said the recent mailout cost him $31 and suggested receiving materials by email and printing them personally to reduce expense. Staff said the higher cost for the recent packet was caused by a rush printing and mailing; under the proposed process posting online would reduce those costs.
The board did not take a formal roll-call vote on a policy change during the meeting; members agreed to try the digital approach and revisit the practice if it creates problems.
