The sponsor described travel time as “about a day and a half travel on the front side, a day and a half travel on the back side.” The district confirmed the all-in charge quoted to families is roughly $1,800 per student and that the package covers hotel, park tickets, some meals and travel.
Board members and other trustees asked detailed questions about supervision and logistics. The sponsor said seven adults had volunteered at the time of the meeting and that two charter buses would be used for a group of 80. Staff said if more than 100 students sign up, the trip would add additional chaperones. Administrators noted they had not yet committed district administrators to attend the trip.
Staff and the sponsor described safeguards used on prior long trips: pre-trip bag checks, staged luggage check-in, group assignments, floor adults in hotels and requirements that students and sponsors follow a supervision plan. The sponsor said the vendor handles the charter and itinerary, and parents would be required to commit a deposit by a deadline to secure the price.
District staff and the sponsor said equipment logistics and cost drove use of the charter package rather than individual flights. The sponsor said parents could separately organize flights, but moving large music equipment by air would complicate logistics and cost. Staff also said the department could pursue fundraisers if family costs rose after bookings.
The Board did not debate the trip as a separate agenda item; the travel requests (JCHS music department and other out-of-state travel approvals) were bundled in the consent agenda and approved 7-0.
