Finance and Governance Committee moves forward 5-year Workday renewal, about $19 million

The Finance and Governance Committee on Jan. 14 approved moving a five-year contract renewal for the city and county’s Workday enterprise system forward to the full council. Jules Jucheel of Technology Services presented the renewal and described it as a five-year extension that would run through Dec. 30, 2029 with a contract renewal amount “for about 19,000,000, a little bit over.”
Jucheel said Workday is used for payroll, timekeeping, accounting and human capital management across City and County of Denver agencies, and that Denver International Airport is included in the system’s user base. “Currently, our active employees using Workday is 18,035,” Jucheel said, noting that employee counts inform pricing.
The presentation described governance and vendor engagement: quarterly governance meetings with customer success managers, monthly meetings with Office of Human Resources, and biweekly coordination with Technology Services. Jucheel explained how the city manages upgrades and releases, saying Workday issues two major planned releases each year and weekly maintenance windows for smaller fixes. He added that the city can decline a release if it is problematic and can opt to be an early adopter for specific features.
Council members moved and seconded the action and the body indicated approval by unanimous thumbs-up. The motion was moved by Council Member Daryl Watson and seconded by Council Member Paul Cashman.
The committee record notes that governance for Workday includes representatives from Department of Finance, Office of Human Resources, General Services and Technology Services, and that agencies maintain super users and subject-matter experts to support adoption, training and testing. Jucheel also described user-facing supports such as “Workday Wednesday” office hours, procurement open houses and an annual “Workday Boost” day for super users.
The committee did not take a recorded roll-call vote at the meeting; the action advanced to the next step of the council process.
