Summary
Officials described a proposal to retain services of a departing data administrator to transfer institutional knowledge, said a Google Cloud migration should finish by end of January, and said staff are seeking vendors to digitize decades of paper records.
District officials told the board they are proposing to continue contracting with a departing data administrator to preserve seven-plus years of institutional knowledge and to support a transition to a new hire.
Staff said the administrator built and automated many internal systems, including authentication and scripts that support daily operations, and that retaining his services temporarily would reduce operational risk. The district said it sought additional quotes but judged the proposed contract to be both less costly and higher quality than other short-turnaround options the district could find.
On cloud migration, staff reported the Google Cloud migration is nearly complete and expected to finish by the end of January. Officials described the migration as an opportunity to safeguard data servers and use cloud services for district file management.
Separately, staff said the district is exploring records-management vendors to digitize hard-copy files stored in district facilities dating back decades. The presentation noted some district records must be kept for 100 years; staff said vendors could offer both digitization and long-term storage of originals as options.
Safety and traffic-control concerns were also discussed in the context of morning drop-off; the district thanked safety officer John Morant and administrator Billy Morant for work on traffic adjustments and said they are reviewing options to improve morning traffic flow.
