Members recorded tentative shifts: Karen Spitz and Christine Altman 9–11 a.m.; a volunteer identified as George 11 a.m.–1 p.m.; and Jeremy Spitz 1–3:30 p.m., with other members helping break down at the end of the day. The commission said the main beach entrance at Burr Pond would be used for unloading and that the event coordinator told them they should be admitted at the main entrance when staff identify themselves as representing the Conservation Commission.
Members agreed to bring outreach materials aimed at several ongoing projects: the planned food-forest/community orchard, an urban-forest public-survey (English and Spanish), and Earth Day cleanup information including past volunteer counts and trash volumes. The commission identified practical needs for the day — a table and a pop-up canopy (Jeremy offered a canopy with insulated sides), laminated photos or maps, a trifold or presentation boards, a sign-in sheet for people interested in volunteering or membership, and small props such as a stuffed beaver to prompt conversations.
Commissioners discussed signage options and low-cost printing options through local vendors; some members noted donated signage might include a donor logo. They also discussed the possibility of tabletop “swag” such as seed packets through partnerships with the NRCS and the local conservation district and agreed to follow up to see what those partners could provide.
No formal vote was taken. Members tasked themselves with assembling printed materials and a small sign-in sheet for interested residents. The commission also agreed to confirm final arrival times by email with the event coordinator so volunteers can bypass the general parking shuttle and drive directly to the beach entrance for setup.
The commission closed the WinterFest discussion and moved to other agenda items.
