Youth committee presses ahead with events, time capsule; leaders seek more sponsorship guidance

The Youth Activities Task Force (YATF) told the committee chairs meeting on Feb. 4 that it staged a successful Halloween event and a holiday festival at Veterans Park, and is planning Spring Fling and other community events for 2025. The committee reported turnout growth but said rising event costs and waning local sponsorships are hampering expansion.

The YATF also updated the group on work toward a time capsule to mark the town’s 25th anniversary. Committee members said a durable, professional time capsule large enough to survive South Florida conditions can cost several thousand dollars; one supplier quoted an estimated $6,000 for a sizable, long-term capsule. The committee asked the town for two or three cost options so the council can consider funding or sponsorship commitments later in the year.

Committee leaders said sponsorships from local businesses have been harder to secure. Town staff reported Memorial Healthcare Systems committed $5,000 earmarked for YATF events; committee members asked for guidance from staff on best practices for local sponsorships and for clarity on whether partial deposits are acceptable. Town staff advised best practice is that sponsors pay the full sponsorship amount before being added to marketing materials; committees have faced problems when sponsors committed but did not pay the balance.

YATF leaders also said they need clearer routing of submitted applications: one student volunteer, identified by first name only, told committee members she had submitted applications multiple times and that the clerk’s office had not received them. Town staff asked for the applicant’s details to trace email delivery.
