Treasurer's office seeks budget for new office chairs and contingency for scanner replacement

Story County treasurer's office told the Board on Jan. 31 that its primary new expense request for the fiscal budget is replacing worn customer-area chairs and budgeting for a scanner replacement contingency while a DOT modernization project could supply scanning hardware in the future.
At a Jan. 31 budget work session, Story County Treasurer Ted Rasmussen and operations staff asked the Board of Supervisors to include funding in the treasurer’s office budget to replace worn front-counter chairs and to preserve contingency funds in case the office scanner fails.
Sandra King, the county’s director of external operations and accounting services, said staff normally budget a small amount for a scanner replacement but that this year the largest new expense request was for office chairs. King said many chairs at the public counter are worn and covered with temporary fabric, and an initial vendor estimate for chairs fell “between 7, 8,000.”
King said the existing scanner still works and that staff prefer to “run the scanner until it dies” because moving to a new scanner requires reconfiguring Tyler Content Management (TCM) settings. She also told supervisors that the Department of Transportation’s planned system modernization could eventually change scanning responsibilities: DOT expects to provide a scanner if it centralizes DOT scanning, but DOT’s modernization project is about two years from significant progress.
Other operating costs — overtime, office supplies, postage and renewal-notice mailing expenses, bank transaction fees and legal notices — were described as largely consistent with prior years, with only small increases driven by inflation and postage increases. King said the chairs were the only expense that would significantly change the department’s budget compared with recent years.
Supervisors asked whether the scanner would be an IT budget item; staff said the scanner in question is for the treasurer’s office and not covered by the county’s central IT budget. No formal action or vote occurred during the session.
