Sudden Valley NNE Committee members on Jan. 27, 2025 pressed for consistent, dated election-manuals and clearer role assignments after prior confusion about which document version to use.
"The most current manual that I have is the 2023 revised," a committee member said, and others agreed that pages should carry revision indicators or a revision sheet showing what changed between versions. Members described a history of conflicting wording between the elections manual and the bylaws and said the committee needs a reliable way to show which revision is current.
Committee members recommended adding revision information in footers and a revision log or revision sheet at the front of the manual so volunteers and staff can confirm they are working from the same document. One member described a system used in previous work that marked a document's revision level (for example, Rev A / Rev B) and included a revision sheet summarizing changes.
The committee also discussed governance changes the board has signaled for 2026, saying the law will require standing and ad hoc committees to be appointed by the board of directors. A committee member raised a concern that homeowner contract language gives homeowners a voice in committee membership; others said the committee's attorney had outlined planned changes. Committee members said they want clearer expectations and task assignments so workload does not fall to only two volunteers.
On logistics, members confirmed meeting scheduling (last Monday of each month at 6:30 p.m.), noted possible holiday conflicts, and discussed preparing candidate materials and timeline for the annual general meeting. The committee agreed to return next month with suggested role assignments and to ask administration for printed, dated copies of the current elections manual for committee members.
