Miss Brumfield, Christian County’s county clerk, presented a draft centralized sunshine request form and a proposed procedure to channel public‑records requests through a single website link.
Brumfield said the form is intended to consolidate requests so that the county’s official custodian of records can track submissions and responses. “Here’s kind of the new form we’re working on in Amber. We’re working on it to, get everything done,” Brumfield said during the meeting. The clerk said she expects a website link that routes requests to the clerk’s office so they can be tracked and processed from one point.
Commissioners and staff discussed practical details: posting a visible “sunshine request” link on the county website, creating a dedicated mailbox that multiple staff can monitor when the clerk is absent, and giving other elected officials a chance to review the form before it goes live. One commissioner noted that grouping responses through a single office would provide a tracking mechanism and reduce duplicate, untracked replies from separate offices.
Brumfield said the county has tried to reduce requests by placing minutes and videos online and that the county has seen few formal sunshine requests in recent years. She suggested that if residents cannot find records on the website, they should be directed to submit the formal sunshine request through the new form.
Staff member John (IT) was asked to create a link and a shared mailbox so requests will route to the clerk’s office and be visible to backup staff. The commission did not take a formal vote on the procedure at the meeting; the clerk described the proposal as a first step and said elected officials would be given an opportunity to review the form before it is finalized.
