DeBary Council approves $44,948 for Gateway Center theater backdrop and AV work

Parks and Recreation Director Jason Scheits told the council the city budgeted "right around $45,000 for this particular item," and recommended continuing with the same contractor used for previous phases so the system remains consistent. "He knows the system, he's already put things into the system," Scheits said, arguing a new formal bid would restart the process without guaranteeing better pricing.
Why it matters: The backdrop and AV integration are the theater’s top priority for the year and will be paid from the Gateway Center allocation in the parks budget. Council members said the screen also could be useful for civic presentations, such as the State of the City, if the system performs well in testing.
Details: Scheits described a two-part procurement approach: install the primary backdrop and evaluate its suitability for presentations; if needed, the city would install a larger drop-down screen included in the budgeted amount. The council was told the project could begin as early as next month, subject to schedule alignment.
Vice Mayor Butlin asked about warranty and user authorization; Scheits said installation workmanship typically carries a one-year warranty and that the equipment will be for the center’s productions rather than general rentals. "As far as...install workmanship and all that stuff, that would be good for at least a year," Scheits said. He also said the center’s staff would test the system with a mock presentation once installed.
Vote: A motion to approve the attached proposal for $44,948 to engage Reliance AV passed unanimously, with Mayor Chazet, Vice Mayor Butlin and council members Sell, Papalardo and Stevenson voting yes.
What’s next: Staff will finalize warranty details with the vendor and schedule installation and testing. The council did not direct further changes to the scope during the meeting.
