County approves purchases of new laptops and desktop PCs from ByteSpeed

Clay County authorized two purchases to refresh county IT equipment: 150 replacement laptops from ByteSpeed for $112,950 and 60 desktop PCs from ByteSpeed for $47,940.
Rory, technology services, said the county replaces batches of machines approximately every four to five years. The laptop purchase represents one batch of roughly 150 machines in a fleet of about 800 devices; replacements are staged over the year rather than purchased and issued all at once. Desktop PCs are expected to last five to six years and the request was for 60 units.
Rory said five vendor quotes were solicited for laptops and ByteSpeed was the lowest at $112,950; for desktops ByteSpeed was the lowest of three quotes at $47,940. He said county policy is to have used devices processed by MinnKota recycling, which removes and destroys hard drives and recycles remaining equipment; county staff said recycling generally costs the county a small amount but saves staff time compared with preparing units for auction.
Commissioner Ebinger moved to approve the laptop purchase; Commissioner Bair seconded and the motion carried by oral vote. A separate motion by Commissioner Kravanoff to purchase desktop PCs from ByteSpeed also carried by oral vote. Rory and staff noted funds are budgeted through internal services for both purchases.
