During discussion, committee members requested a clearer cost breakdown between consumable items (awards, jerseys) and non-consumable equipment (balls, cones, goals). A committee member noted an estimated $2,250 line for durable equipment and asked whether those items would become district property. Staff clarified the RFP was written to include startup costs so vendors would disclose whether they intended to retain equipment they already owned. The athletics presenter explained that historically Manchester Youth Sports provided equipment and that in this procurement, the durable equipment would generally remain with the vendor and be reflected in year-to-year pricing or replacement costs as needed.
Reviewers also thanked the vendor for transportation provisions and equipment-access commitments in its bid; the proposal mentions a fully registered and insured minivan available to provide free transportation for students who need rides to practices or games and new shin guards for students unable to purchase them.
Committee members moved and seconded the award motion; the voice vote carried with “ayes have it.” Staff will finalize contract details with Manchester U Sports and return any necessary documentation as part of routine contract processing.
