Panel members discussed internal governance and transitions, including student-member recruitment, planned exit interviews for departing members and proposals for electing the next co-chairs.
Sherry and staff reported student recruitment is live through Jan. 31 and that a boards-and-commissions open house at the Penfield Tate Building will be staffed to answer student questions. The panel agreed to conduct exit interviews for members leaving their terms so institutional knowledge is preserved; staff were asked to coordinate those interviews with the city manager.
A panelist proposed using a sociocratic selection process for co-chair elections, explaining the approach encourages peer nomination and broader participation rather than traditional contested slates. Panel members discussed practical details such as secret ballots required by bylaws, how consent rounds could work and potential formation of an ad hoc committee to refine the approach and present a proposal in February. The proponent agreed to circulate a short presentation and a link to the Sociocracy For All website for members to review.
Panel members also agreed February will be an in-person meeting for departing members and reiterated that March is the election month for the next co-chairs. Several members volunteered to help refine the election proposal.
Why it matters: with multiple members leaving, the panel is taking steps to preserve institutional memory, broaden candidate pools and consider alternative selection methods within the constraints of the panel27s bylaws. The discussion produced a plan to circulate materials and form an ad hoc committee if needed.
Next steps: the member who proposed sociocratic selection will circulate a short presentation and reference material; staff will schedule exit interviews and ensure the Penfield Tate Building recruitment event is staffed.
