County staff introduced a draft contract-management policy intended to standardize the county’s processes for preparing, approving, signing and storing contracts.
A staff member said the draft is modeled on a Chatham County policy with local tweaks and would allow electronic signatures to be used for county contracts. The draft policy also envisions a more automated, online signing and storage process so contracts are easier to retrieve and the county manager and county attorney would review the policy annually to ensure it remains viable.
Commissioners supported the idea of centralized storage and clearer approval steps so the county can retrieve contracts after execution. Staff emphasized the policy is intended to improve recordkeeping and make contract workflows more auditable; the administrative procedures that implement the policy would remain flexible and could be updated by staff without returning to the board.
No formal vote was taken on the policy at the work session; staff said it will be presented for formal approval at a future meeting.
