County staff said the amendment reallocates funds originally budgeted for certain data conversions that the county does not maintain into 56 additional remote implementation hours. "Some of the data that they had in our original agreement, we don't have in any software system to convert. So we're getting money back … it will be converted into remote implementation hours," a county presenter said.
Staff described the project as a phased implementation: the finance/accounting modules were targeted for an initial go-live late spring, with HR and payroll scheduled later in the year. The county said the new system is intended to reduce manual spreadsheets and reconciliation work, centralize vendor and invoice records, introduce electronic approval workflows with date/time stamps, and ultimately replace several separate platforms used by smaller departments.
The board discussed operational details, including parallel entry in old and new systems for a transition period, approaches to card-processing integration, and how department-level workflows will be staged to avoid overwhelming staff. Commissioners approved the amendment and directed the chair to sign the contract documents.
