At the Sept. 16 meeting, staff presented three vendor quotes for the wayfinding and monument-sign program and reported that all three vendors were willing to refine materials and layouts. Board discussion focused on price, references and technical details such as warranties and breakaway hardware. One presenter noted LED Partners offered a five-year warranty and strong contractor references, and the board discussed negotiating minor scope or material changes without reducing sign quality.
The board asked staff to ‘‘button up’’ the proposal and to proceed to contract negotiations within the quoted price ceiling. The board did not require a formal sealed-bid vote for the engagement; rather, members instructed staff and the city to proceed with LED Partners so long as the final negotiated price did not exceed the quoted amount.
Staff estimated a lead time of about five to seven weeks for manufacturing and placement after final sign plans are approved. Board members asked staff to return if there are any significant changes to scope or price above the authorized ceiling.
The authorization covers the installed wayfinding package as presented at the meeting; staff will attempt further price negotiations and minor design adjustments while preserving the quality and warranty elements the board preferred.
