The approval caps replacement spending at $5,000 and allows staff to obtain a final dollar amount for the order with the consent of the BID president, Peggy. The motion to cap spending was seconded by Paul and carried by voice vote; the board did not record a roll-call tally in the meeting minutes.
John also asked for permission to buy more-durable storage containers (bins) to protect ornaments during transport and storage. Board members supported the idea, and staff said bins could be purchased as a separate, lower-cost line item if needed.
Event planning: tree lighting and related schedule Kelly, a BID staff member coordinating the event, told the board the annual West Bend tree lighting ceremony is scheduled for Wednesday, Nov. 6, with activities beginning at 5:30 p.m. and the tree lighting set for 6:30 p.m. The Bend Theatre has booked performers tied to A Christmas Story for the event; the theatre plans a ticketed movie screening afterward to help offset costs. The Downtown Association will provide hot chocolate and cider, and organizers are finalizing musical acts and a Santa appearance.
Staff said decorations will begin going up Oct. 30–31 with additional testing days Nov. 3–4 reserved for weather or electrical troubleshooting. Kelly explained the earlier setup is to allow time for testing before the early-November ceremony.
