The representative asked the city to provide earlier direct notice when cases will affect HOA common areas.
A planning staff member said mailed notices are considered delivered when dropped in the post office and suggested the HOA submit a written request to receive special notices. A commissioner suggested that planners try a courtesy notification to the HOA board in cases where the property falls within a 300-foot notification radius or when the HOA’s common areas may be affected. Staff agreed to explore options and asked the HOA representative for a contact email or phone number to add to planner outreach.
No formal policy change was adopted at the meeting; staff said the city can consider establishing a written list of entities to receive special notices but would need to make the service available to any group that requested it.
