The chair said some invoices — specifically traffic control and a Tulsa Police Department invoice — remained outstanding while the commission completes final budgeting and paperwork. She said the commission plans to finalize its event bills and approach the city council to request forgiveness for city charges, if possible.
Commission members discussed volunteer burden and suggested formal acknowledgments. One commissioner proposed presenting framed certificates to committee chairs and key volunteers at the commission’s Dreamkeepers awards ceremony on Nov. 18; commissioners agreed to explore certificates and other acknowledgments. The commission also agreed to provide refreshments at the Nov. 18 Dreamkeepers event and will circulate sign-ups for reception items.
Committee chairs said they will distribute thank-you letters to sponsors and that a more detailed checklist will be used for next year to distribute responsibilities earlier. Commissioners raised staffing concerns: several volunteers and outside contributors provided critical technical and logistics support, and organizers said they will seek to delegate responsibilities more widely for future events.
No formal fiscal action was taken at the meeting; commissioners assigned follow-up tasks to finalize bills and to prepare certificates and acknowledgement plans ahead of the Nov. 18 Dreamkeepers awards.
