One board member suggested rewording a clause that "availability of access to generative AI tools and resources by students and staff does not imply endorsement by the district of the generative AI tool or resource" to clarify the district is not endorsing the "use of" particular vendors.
Tool selection and data protection: The technology team recommended the district focus on tools within the Google Workspace ecosystem (Gemini, Gems, NotebookLM) for data protection and manageability. Staff noted the district purchased some Gemini Pro licenses and that the tech department preferred a tightly controlled ecosystem rather than allowing unrestricted use of many external tools. "We are a Google district. So, ultimately ... we decided to use tools within the Gemini within the Google Workspace, which was the strong recommendation of the technology department," a staff presenter said.
Instructional and operational concerns: Board members raised concerns about blocking third-party tools outright and asked whether limiting access on district Wi-Fi was planned. Staff said they do not plan to actively promote external tools, will focus training on vetted tools, and will create an "AI vanguard" of district representatives to guide building-level implementation. Legal boilerplate in the policy is intended to protect the district against litigation tied to AI-generated outputs.
Next steps: Committee members asked for line edits and more precise language. Staff said they will circulate proposed wording changes by email and return revised policy language to the committee for further review.
