Jillian, a town HR/staff member, presented a proposed policy to standardize documentation of employee rate-of-pay changes, recommending a single form signed by the employee, the supervisor and the Select Board.
"I would like to propose that we use 1 rate of pay form for all employees, to be signed by the employee, their supervisor, and the select board," Jillian said. She asked the board to approve the policy while staff finished minor edits to the form.
Board members recommended small adjustments — clarifying hourly vs. salary status, part-time hours, and adding the month/year on the form for future reference — but supported the policy’s intent to create an auditable, consistent record of pay changes. Select Board members said each employee’s personnel file should retain a dated form whenever a pay change occurs.
The board voted to approve the policy; staff will update the form with the suggested tweaks and produce an annual summary format for budget season to reduce duplicate paperwork.
