USBE demonstrates live EL student report in Tableau; reiterates WIDA/ACCESS exit and screening rules

Aaron, a USBE assessment staff member, walked assessment directors through a Tableau report called "EL student list - live," available at tableau.schools.utah.gov. He said the report is tied to LEA permissions and will display school, grade and student SSIDs and several columns including prior-year overall score, prior-year time in program, current time in program, initial ACCESS level and the student's speaking score from the most recent test. "So to access this report, you would go to the Tableau server. That is, the URL is tableau.schools.utah.gov... Everyone should have a login at this point to get in insight and see this," Aaron said.
Aaron described exporting options (cross-tab to CSV/Excel) and cautioned that the report relies on the LEA's prior-day Utah state submission. He also noted performance issues that morning and said he would check server health.
USBE staff clarified screening and exit criteria used in Utah. Staff reminded directors that WIDA screener qualifying for EL entrance is "anything under a 5" (a 4.9 or lower qualifies for services). Exit criteria, by contrast, are based on ACCESS: composite overall 4.2 and speaking 3.5. Staff also clarified that "prior year time in program" and "current time in program" refer to how long a student has been tracked as an EL in the state's reporting submission, not the student's first entry to the country.
Staff announced WIDA professional learning and ACCESS-related trainings (in-person October sessions and virtual sessions in January and March), and encouraged district teams to attend. They also noted that the ACCESS testing window materials-ordering and pre-ID file timelines will follow the announced schedule and detailed which materials USBE orders versus those the LEA must order (alternate/braille). Staff said the first pre-ID file will load Oct. 30 and that districts must have accurate SIS data because USBE orders most materials from the first pre-ID file.
Why it matters: The Tableau report gives LEA assessment directors a live view of EL student assessment statuses tied to state data submissions. Accurate interpretation of screener vs. ACCESS thresholds and timely materials ordering are critical to proper identification, exit decisions and test administration.
