Commission to consider $339,794 air-conditioner replacement program; staff to clarify one high-priced sports-complex item
Summary
Public works recommended replacing aging HVAC units under a Sourcewell piggyback contract with an estimated total of $339,794.14. Commissioners questioned one line item — the Sports Complex office — where the per-square-foot cost appeared anomalously high; staff said they will clarify or remove that item before the next day's meeting.

Public works briefed the Sept. 8 workshop on a planned citywide replacement of air-conditioning units that have reached or exceeded useful life. Staff recommended using a national Sourcewell piggyback contract to standardize equipment and cited Carrier-brand units as the preferred vendor.
The recommendation included a total estimated cost of $339,794.14 across nine sites. Commissioners pressed staff on one apparent anomaly: the Sports Complex office showed a much higher per-square-foot price than other buildings (the item was reported at $14,148 in the package and equated to roughly $37 per square foot versus $7–$13 per square foot for others). Public works said it would re-check the square footage and pricing and either secure a lower price or pull that building from the piggyback purchase. Staff committed to sending corrected agenda documentation by email the same day and to present the revised figures at the formal commission meeting the following day.
Commissioners and staff discussed how Sourcewell’s piggyback contracts are competitively bid by the national purchasing cooperative and that municipalities may use Sourcewell awards instead of a separate local bid process. Public works said Carrier won the Sourcewell solicitation and staff favored standardizing on that brand due to reliability.
The commission did not take final action during the workshop; staff will present corrected figures for the Sports Complex office and a revised total at the formal meeting.
