Deschutes County staff on Monday presented a proposed IT policy that would allow employees to upload internally-facing profile pictures used in Microsoft Teams and Outlook, replacing the prior practice of having IT staff manage uploads.
The policy would be voluntary and limited to internal applications, with guidelines about acceptable images and neutral backgrounds. Staff said the intent is to make it easier for employees to add a face to a name without increasing IT workload; the packet shows sample acceptable and borderline images and the policy advisory committee discussed acceptable "neutral" backgrounds (staff said trees were considered acceptable).
Community Development and department heads reviewed the draft and staff said the change will go to the consent agenda for board action on Wednesday. Commissioners asked whether the change would save IT much work; staff replied it would not dramatically reduce workload but would remove a perceived barrier for employees who previously were reluctant to request IT assistance. The proposal is not mandatory and staff said it is intended to improve internal transparency.
Staff told the board the policy advisory committee and department heads had seen and discussed the draft and that examples in the packet illustrate edge cases and guidelines to steer toward neutral, professional images.
