The move ensures the board can both observe the awards and meet its statutory deadline for the annual financial report. "October 15 is when the annual financial report is due. So that is the deadline for it. So we can do it anytime before that. But we have to be — it has to be approved by the board before October 15 or on October 15," Mr. Thompson, a board member, told the board during discussion.
President Ewers opened the agenda item, and a motion to cancel the Oct. 15 in-person meeting was made and then amended by Mrs. Windsor to make the meeting virtual at 12:00 p.m. Windsor moved the amended motion; another board member seconded. After brief discussion about scheduling a special short online meeting if necessary, the board voted in favor. President Ewers announced, "All those in favor? Aye. Aye. Motion passes."
Board members asked staff to ensure meeting materials would be available in time to allow review before the virtual session. Mr. Thompson said holding the meeting on Oct. 15 at noon "gave us the most amount of time to prepare it" but suggested that if materials were not ready the board could hold a short special online meeting earlier the same week.
The vote preserves the board's ability to attend the community awards while keeping the deadline for the district's annual financial report. No formal roll-call names were recorded in the meeting minutes for the vote.
