City Manager Bradley Ford and members of his staff described a new agenda and streaming setup for Waco meetings during the council’s Sept. 2 work session, saying the city has moved from a legacy MinuteTrack/IQM2 system to a web‑based OneMeeting agenda portal and will use Swagit for live streaming.
Chief of staff Ashley (last name not provided on the slide) walked Council through the new portal during the session and said the goal is a smoother, more mobile‑friendly experience for staff and the public. “We have switched over from our MinuteTrack software…We landed on a product called OneMeeting, which is fully web based and browser based, a little more user friendly,” she said.
Features staff highlighted include an HTML agenda format that expands attachments inline, separate PDF agenda packets for full downloads, and on‑screen “play” links that open the Swagit player. Swagit’s player will include live closed captioning and indexing tied to agenda items so video viewers can jump directly to the point in the recording when a specific item was discussed. Staff said archived meetings will remain available on the old IQM2 platform while new meetings will post on the OneMeeting portal and will also be accessible via the city’s MyWaco TV page on YouTube and Vimeo.
Staff said there is no change in the city’s policy that agendas be posted publicly; the new software changes how attachments and packets are accessed. Staff also said they will create short tutorial videos for the public and provide additional internal staff training. Mayor Jim Holmes and Council members thanked staff for the work of multiple departments to migrate hundreds of pages of agenda materials and for the planned public tutorials.
Next steps: staff said the portal and streaming are live for meetings going forward and encouraged residents to use the new meeting agendas link on the city homepage to find upcoming agendas, filtered by board or commission.
