The Crook County clerk reported the county has contracted with a vendor to offer a property-record alert system that will notify residents by email when a document is recorded containing a specified name.
The clerk said the vendor, which staff named as Helion, has rolled out a platform that allows residents to register up to 10 names or addresses and receive email alerts when records are recorded. The county clerk said the contract includes a roughly $1,000 setup fee and an approximately $500 annual fee and that the expense was budgeted.
"It's going to have a place on our website for anybody to go in and sign up their name," the clerk said. "Anytime a document records with that name that they put in there, it's going to give them an email that's going to say, hey, a document is recorded in your name." The clerk added the service is a back-end alert — not a front-end fraud-stop — but that early notification may let property owners act quickly if they find an improper filing.
The clerk said some states require similar services by statute and that other Oregon counties have rolled out the program; she mentioned Jackson County as an earlier adopter. The clerk said the county will publicize the free service and explore additional subscription fields in the future, such as parcel or account numbers, to expand coverage for subdivided parcels.
The board received the report as informational; no vote or new appropriation was requested at the meeting.
