Project staff and Colliers/Gilbane told the committee they received a single responsive bid. Staff said Barbizon was effectively the only vendor capable of providing the complete theatrical package the project requires, and other firms declined to bid for that reason. The recommendation noted that the recommended award is $340,733 above the 60% construction‑document budgeted amount of $303,131.
A building‑committee member moved that the committee recommend the award to Barbizon; the motion was seconded and the committee voted in favor. Committee members and staff discussed the lack of competition and the common industry challenge that theater/equipment detail often becomes clearer in the latter stages of design, which can raise costs above 60% estimates.
Project staff said there are no alternates or allowances tied to this bid and that WBE/MBE participation was not included. The team also noted the recommendation will proceed through the normal contract review process.
Next steps: the building committee’s recommendation will be processed through contract administration and the town attorney will review contract language before final award.
