Sayville BOE to split workshops and business meetings; keeps public comment format

The Sayville Union Free School District Board of Education said it will resume separate workshop and business meetings and will hold its first business meeting of the school year on Sept. 11, with executive session at 6:30 p.m. and the public meeting at 7:30 p.m.
Board members said the change follows a recent retreat in which they concluded the meetings have blurred the lines between planning/discussion and decision-making. "We decided, as a board that we are going to do our visits on September 8, and we are going to attend all the buildings in the same day instead of splitting them into," the board said during the discussion. The board described planning sessions as forums for in-depth discussion and presentations and business meetings as the venue for binding votes, recognitions and formal agenda items.
The board said it will continue to allow two public-comment opportunities at regular meetings — one on the agenda and one on other items — and limit total public comment time to one hour, with a three-minute cap per speaker. Kelly will serve as the timekeeper, and the board said it may extend or limit comment time depending on the circumstances. The board also said it will pilot advance sign-up for speakers and will continue to accept emailed questions for staff to address at meetings when possible.
To make materials more accessible, the board said agendas and meeting materials will be posted in advance, limited printed copies will be placed for audience use, and a QR code will be displayed when the district's screens are working to allow attendees to follow along on phones or tablets. The board said limited printing is intended to balance accessibility with unpredictable attendance levels.
Board members and speakers at public comment said the changes are intended to improve transparency and allow the board and community more time for deliberation and clarifying questions. "We will try to not try to, but we will have limited copies, and we will still put the QR code up for people in attendance if they wanna follow along," the board noted during discussion.
The board asked community members with topic suggestions for workshops to email the district so staff can prepare presentations. It also reiterated that correspondence on specific student matters cannot be discussed in public meetings but will be addressed privately by district administrators.
The board said it expects to publish the workshop topics and the calendar in advance of the September meeting.
