Board members raised competing considerations: the value of concise takeaways for oversight versus the administrative burden on staff and the risk of discouraging attendance if presenters must later appear before the full board. One board member suggested a simple reporting form using three questions: what was attended, what was learned and how the learning will be applied. Another proposed an annual aggregate report summarizing how many conferences occurred, by role (administrators, teachers) and by subject area, plus total district spending on conferences.
A board member proposed setting a dollar threshold for required reporting, though others cautioned that cost alone does not necessarily equate to importance and that more remote or costly conferences might be highly impactful. Administrators said the district will first gather objective data on the number and cost of conferences attended, then propose reporting formats and thresholds. Suggestions included attaching a short report as an informational item on an education committee agenda rather than requiring full-board presentations.
One administrator noted that currently some conference travel is supported by specific funding streams—she cited Title II supplemental funds—and recommended that any aggregate report indicate the funding source. The board directed staff to collect last-year data on conference attendance and expense and to return with suggested reporting templates and an aggregated year-end summary.
