Colonial SD to continue optional Chromebook insurance; program details, limits and participation reviewed

Finance staff briefed the committee that Colonial School District will continue its optional Chromebook insurance program with no change to the $30 annual premium for full-price enrollees and $15 for students eligible for free or reduced-price meals.
Mark Adams, a district staff member, said the program — instituted in 2024–25 — covers repair costs for Chromebooks and is self-insured. He said the policy is nonretroactive (families must be enrolled at the time of damage to receive coverage) but that families may enroll at any time during the school year; premiums are not prorated.
Adams told the committee the program covers up to two repair incidents; after that, families are responsible for additional costs. He also said the district applies a depreciation schedule to repair charges, reducing replacement/repair cost by about 25% each year the device ages.
Committee members asked how participation looked. Adams said the district collected about $60,000 in premiums last year, up from roughly $20,000 the prior year, but did not have an immediate count for the number of families who did not opt in. He confirmed the fee is charged per device, so households with multiple devices pay per device; staff said they can analyze multi-device discounts and payment-plan options if the committee requests.
Several board members asked whether students would be denied devices for inability to pay repair costs. Adams and Dr. Gervais, an administrator who spoke during the discussion, said the district provides a Chromebook to every student on the first day of school and will not withhold devices; staff will work with families on payment plans or recovery of costs afterwards.
Why it matters: Many districts add optional device-insurance programs to limit district repair costs and give families predictable exposure; Colonial SD’s program is unchanged for the coming year but staff will continue outreach and may return with options on multi-device discounts or payment plans.
