District updates: flooring projects, VRF maintenance contract and synthetic turf tracking discussed

District operations staff gave the committee a multi‑topic facilities update covering summer cleaning, flooring projects, HVAC preventive maintenance and synthetic turf maintenance.
On flooring and summer cleaning, staff reported progress by building: approximately 60% complete at the elementary school, 70% at the middle school and 85% at the high school, with a target completion date of Aug. 8 and teacher classroom availability by Aug. 11. At the elementary school, second‑floor carpet removal and grinding were complete and rooms are awaiting VCT and cove base shipments; three additional first‑floor teacher classrooms (C107, C108 and D107) were added to the project at additional cost but staff said the Aug. 8 completion date remains unchanged. At the middle school, crews began second‑floor hallways and common areas; removal, grinding and sanding were underway in the seventh‑grade hallway.
On HVAC maintenance, staff recommended entering a preventive maintenance agreement with Trane to inspect VRF units, test controls, provide remote service and do on‑site testing across campus, with the intent to identify preventative repairs before failures occur. The item was presented as proactive maintenance for the elementary school’s newer VRF system.
Staff also briefed the committee on synthetic turf maintenance and tracking/rubber infill. They said the district purchased rubber infill previously and is monitoring remaining inventory; the 2023 HEMIX testing identified needs for additional infill and follow‑up work, and the district expects to contract for additional material or tracking services as needed.
Board members asked clarifying questions about timelines for VCT installation, custodian waxing schedules to meet classroom availability, and whether additional turf infill will be required when contractors inspect fields. Staff said they would coordinate schedules and return with bids or contract language as needed. No binding contracts were finalized at the committee meeting; items were presented for committee consideration and recommended to be forwarded for further action.
