Urbandale Community School District approves $84,131 in HVAC change orders for Webster work

The Urbandale Community School District board on a 4-0 vote approved two change orders totaling $84,131 to address unexpected HVAC hardware issues discovered while work is under way at Webster Elementary.
District staff told the board the work discovered during system disassembly includes seized dampers, actuators and valves that must be replaced or repaired to avoid additional downtime and higher costs later. “What these change orders are relating to is the actual hardware. So dampers and actuators and valves and things of that nature on the actual equipment that as we go in and we start taking things apart, we're finding that they're they're not working anymore,” said Eric Barron, who joined the meeting by phone. Barron said replacing those components will “correct these items for the next 20 years.”
The two change orders approved at the special meeting cover work identified in the prior controls project and are specific to hardware rather than the building automation system (BAS) work originally contracted. Barron said the BAS and control-programming portion of the overall Webster and high school controls project was estimated at “a little over a million dollar range,” and that the two approved change orders are for the additional hardware found as crews opened equipment.
Board members and staff said the urgency stems from the fact the system is currently disassembled; delaying the repairs until the board's regular Aug. 11 meeting could require rework and additional downtime. Barron said a third, related proposal for further hardware work was priced the morning of the meeting and is expected to be about $35,000; that item will be brought to the board on Aug. 11 for consideration.
The motion to approve the $84,131 in change orders was moved by Rachel (last name not specified), board member, and seconded by Menke. The board voted by roll call: Hauser — yes; Kent — yes; Menke — yes; Young — yes. The motion passed 4-0.
The board then moved to adjourn. A second motion to adjourn passed unanimously.
The approved change orders apply to the Webster portion of a multi-year controls and HVAC upgrade that staff said will include additional work at the high school in future summers. Staff emphasized the hardware fixes are distinct from the BAS/control-programming work previously contracted.
