Board approves revised 2026 meeting cadence to group related meetings in the same week

The Police and Fire Retirement Board voted to adopt a revised meeting cadence for 2026 that would generally move the board’s regular monthly meeting from the first Thursday of each month to the third Wednesday, co‑located in the same week as federated meetings.

Staff presented the proposal as an efficiency measure intended to reduce the recurring workload on staff and consultants by grouping board and federated meeting preparations into the same two-week window each month. Under the proposal, police and fire board meetings would occur on Wednesday and federated meetings on Thursday in the same week; certain committee meetings would be adjusted to remain practical for trustees’ schedules.

Board members discussed the change and several trustees expressed concerns about back‑to‑back meeting burdens for those serving on multiple committees. Staff said committee meeting days could be adjusted month to month and pledged to confer with committee chairs to minimize scheduling conflicts. The board voted by roll call to adopt the proposed 2026 schedule, with staff saying the change would take effect in January.

Staff will coordinate with committee chairs and publish an updated calendar; the full annual schedule is typically presented for final approval in the August meeting packet but the board approved moving forward with the recommended cadence now.
