The Town of Southborough Community Preservation Committee voted to approve revised meeting minutes for April 24, May 22, June 11 and June 18, incorporating several clerical and wording changes and noting an earlier rescinded set of minutes.
Committee members said the revisions addressed formatting and factual clarifications โ for example, correcting a meeting-date label, clarifying that a phrase should read "of dates," and changing references to "school backpacks" to "digital school backpacks." Members also corrected references to an eligibility deadline (listed as Oct. 10) and noted an annual deadline of Sept. 15 where applicable.
The committee discussed the April 24 minutes at length because the video record showed an earlier set of minutes had been approved and then rescinded; a member identified as Claire Reynolds is recorded in the transcript as having abstained on the initial vote referenced in that video. The final April 24 minutes approved at this meeting incorporated deletions of lines that duplicated a rescinded action and corrected the meeting title and date label.
For the May 22 minutes, members clarified language about "open projects" to distinguish ongoing projects from those needing only signage, and agreed to place the motion text before procedural notes for clarity. At 537 seconds in the transcript Claire Reynolds repeated the motion to approve the May minutes with the noted changes; the motion passed on roll call.
Committee members also approved the June 11 minutes after minor grammatical edits and a clarification that an updated handbook referenced an existing handbook posted on the website. The June 18 minutes were approved after corrections including changing a phrase that read "now law" to "not law" in reference to a site-control practice and noting an October 10 eligibility determination deadline rather than requiring prior architectural-significance review.
Roll-call votes were taken each time. The transcript records affirmative votes from members who identified themselves on the roll calls (including Claire Reynolds, Katie, Grant, Ellen and Owen at different points in the meeting); no motions recorded in the transcript failed. Members agreed that finalized minutes would be sent to Lisa for submission.
The committee closed the agenda by moving to adjourn; the adjournment motion passed on a roll call and the meeting ended at about 6:48 p.m., according to the meeting transcript.
The approvals primarily corrected wording, dates and procedural notes in the minutes rather than adopting new policy or funding decisions; members noted they would use the video record to confirm adjournment times where the time was not already captured in the draft minutes.
