Council approves additional traffic-signal equipment purchase for Belt Line intersection, raising not-to-exceed to $123,000

The Sunnyvale Town Council approved an increase in the not-to-exceed amount for traffic-signal equipment for the Belt Line intersection project on Aug. 25 to ensure long-lead items arrive in time for scheduled construction.

Staff explained the intersection project includes updated signal poles, conduit and fiber to improve traffic flow at Belt Line and Towne East and related sidewalk work. When the equipment list was originally prepared, staff had estimated a smaller not-to-exceed amount; as the procurement process proceeded one supplier's estimate arrived later and increased the equipment sub-total, prompting staff to request authorization for a higher purchase cap.

Town staff told the council the full intersection construction work was bid and that actual contractor bids came in about $200,000 below the engineer's estimate. The revised equipment authorization the council approved was a not-to-exceed $123,000, replacing an earlier $75,000 figure, to secure poles and other long-lead items so the project can align with a nearby commercial opening.

Staff described the schedule: a notice to proceed and early construction activity were anticipated in September, a key milestone to complete the Belt Line/Towne East intersection was Dec. 13, and full project completion (including Creekside and Towne East) was targeted in early February 2026 under a 160-calendar-day schedule.

Council voted to approve the additional equipment purchase authorization. The motion passed 6-0.
